Introducing the vuBrief |
vuBrief is an advanced file and directories synchronization utility, capable of performing following tasks:

vuBrief provides convenient and fast synchronization of files between home computer and computer at work. User is capable to perform all needed synchronization and copying actions between two computers.

At the end of the work day new documents are usually created by the user and
existing documents are updated or even deleted. vuBrief application keeps track
of the updated and new files and helps to seamlessly transfer the data to the
home computer. With the help of the vuBrief Tasks Scheduler, it is possible
to synchronize files between home and work machines every day 
vuBrief application is capable of synchronizing files between remote computers which are not even interconnected in the network. This process takes several stages and requires intermediate media storage device (floppy disk, CD-RW, Iomega ZIP disk, FTP resource). The Intermediate Storage Device (ISD) is used for data transfer between two computers. These are the steps to synchronize files between two machines:
The Data from the computer-A is stored on ISD
The user carries ISD to the computer-B
The Data is restored onto computer-B from the ISD

FTP folders can be also used for synchronization. vuBrief allows to transfer and synchronize files from the local directory to the specified FTP directory. |
It is possible to select the direction of synchronization:
Duplex: two-way files synchronization
Mirror: only FTP folder is updated from the local directory
Sample: only local directory is updated from the FTP folder
vuBrief can run in two modes:
Foreground (visual). User performs all the tasks in the vuBrief main window.
Background. vuBrief is working in the background and is represented by the
tray icon in the System Tray 
vuBrief user interface is tuned to provide simplicity of usage on top of the advanced abilities of the application. For example:

If the user encounters situation he does not know where to proceed, the vuBrief Assistant will popup to help with the list of the next steps. Files synchronization can be sometimes a confusing process for new users and the Assistant can be quite useful in such situations. |
When working with
files, vuBrief uses special method, called SoftCopy, which protects the data
from the disruptions during copying operations. SoftCopy technology is helpful
in cases when "unreliable" media is used for synchronization (floppy
disk, CD-RW). The application watches the copying process and rolls back to
the previous state in case of an error.
The same technique is used for synchronization to FTP folder. While vuBrief
uploads the data to FTP folder, the network link disruptions will not harm the
data integrity. The final FTP update takes place only when all data has been
uploaded.
vuBrief provides
the data protection functions to limit the access to the synchronized contents.
Backup archives are also protected with the password 
The number of computers
participating in the synchronization process is not limited. In the local area
network there could be many computers which must synchronize their data among
themselves. The only requirement is to install vuBrief on every computer which
participates in synchronization process 
To facilitate large amount of data for synchronization via ISD (Floppy, CD-RW, Iomega ZIP), vuBrief allows to split big archives into smaller chunks and store the archive on multiple ISDs

If the folder contains
too many files, the synchronization process may take a while. To cope with this
nuisance, vuBrief provides files filtering to exclude unneeded files from the
process. It's possible to exclude directories altogether with files

vuBrief Usage |
Main entities and terms used in vuBrief application:

Folder contains files descriptions (name, date, attributes, size), and file selection parameters. It is possible to process all files (*.*), but folders often contain temporary and irrelevant files, which could be filtered out. Full recursive directories filtering is available as well. |

Briefcase contains the list of local folders with all the parameters and files descriptions. For files synchronization between computers vuBrief transfers local briefcase to the remote computer. In case, when there is no link to the remote computer, information about folders and files on the remote computer is retrieved from the briefcase. |
Note: Briefcases and Folders contain only information about files, and not files themselves.
Intermediate
Storage Device - ISD - defines a device which is used
as an intermediate storage during synchronization between remote computers.
Let's look at the example with the floppy disk: new and updated files from the
computer-A are packed onto the floppy-disk. Computer-B reads the data from the
floppy-disk and synchronizes it. Simultaneously, if new files exist on the Computer-B,
they are packed onto floppy-disk for the later retrieval on the Computer-A.
It is evident, that synchronization is fully duplex (goes in two directions).
All the stages for selection, packing and updating the files are taken care
of by vuBrief application automatically, the user just carries ISD between
computers 
There are four different ISDs:

During the first
start, vuBrief creates briefcases and sets up local parameters for the synchronization
with remote machines.
To uninstall vuBrief,
user should go to the Control Panel and choose the icon Add/Remove Programs.
It is important to remember, that after uninstallation vuBrief directory will
still contain Backup archives and other files. User must decide on his own,
whether to delete the left files 
We assume, that vuBrief is already installed.
Computer may have various number of logical disks, directories and files. It's usually not required to process all the files, but to process only the preferred files (for instance, folders with regularly updated work documents). User should decide which folders are to be synchronized and to add description of those folders into the Briefcase.
vuBrief will create two empty Briefcases during its first start:
Local Briefcase: for the files synchronization
Backup Briefcase: for backup archiving
For each of these briefcases the set of folders should be defined with the files selection conditions.
During files synchronization, full folders tree structure is synchronized. For example, if two computers contain Native Folders, the files in the Native Folders will be identical after the synchronization process. The number of the synchronized folders is unlimited.
As the first step, user has to define the folder to be synchronized. It's possible to do this in three steps:
After the mentioned steps, the Local folder is ready. Next step would be to define the Native Folder. The synchronization will be taking place between these two folders (Local and its Native one).
However, it depends, where the Native Folder is situated:

Both directories for this type of synchronization may reside on the local disk, shared network disk or removable drive, but must be accessible during synchronization process. This type of synchronization is the fastest one, because the files are synchronized directly and in one step. |
To perform direct synchronization, Direct-Link Assistant is used.

During Local folder description, the Native Folder is specified in the Direct-Link Tab. By default, the files between Native Folders are synchronized in both directions, but it's possible to override this options. |
There are several different ways to launch the files synchronization with the Direct-Link:
from the main window of vuBrief by dragging icon of the Local Briefcase and dropping it onto the icon of DirectLink.
double-clicking on the DirectLink icon
creating a special item in the Scheduler/QuickLaunch list, which will be responsible for starting synchronization process
opening the window of the Local Briefcase (double click on the Local Briefcase icon)
and pressing DirectLink toolbar button 
Any of the mentioned methods will launch files synchronization for all the DirectLink-folders in the Briefcase. If it's necessary to synchronize only one folder, it can be achieved from the Local Briefcase window by opening the required Folder in the list and pressing DirectLink button. In this case, only selected folder will be synchronized.

For any folder in the Local Briefcase it is possible to define native FTP folder and synchronize the files between these folders. It's very convenient for users who regularly upload and publish HTML documents and other files to Internet. Additionally, the synchronization is performed bi-directionally in one step. |
The Local Briefcase may contain several folders, where every of these folders can be linked to FTP folder on different FTP servers.
For FTP folder synchronization the FTP-Folders ISD assistant is used.

By default, the files are synchronized in both directions between the two folders, but it's possible to override this behavior, for example, to use FTP-Folder in the Mirror mode (write only). |

Any of the mentioned methods will launch files synchronizations for all the FTP-Folder in the Briefcase. If it's necessary to synchronize only one folder, it can be achieved from the Local Briefcase window by opening the the required Folder in the list and pressing FTP-Sync button. In this case only selected FTP folder will be synchronized.

In case of the local area network the task to synchronize many computers within this networks may arise. Local Network ISD assistant can be used to perform this task. The quantity of computers in the synchronization operation is unlimited. |

There are several different ways how to launch files synchronization:
When computers are not connected in the network, vuBrief still provides the way to synchronize the data by means of Intermediate Storage Device. This type of synchronization is more complicated than the previous ones and is performed in the following sequence:




During
the very first synchronization user may experience difficulties because of the
large number of files to be synchronized
There are several different ways how to launch files synchronization with remote computers:
from the main window of vuBrief by dragging icon of the Local Briefcase and dropping it onto the icon of the Remote Briefcase
selecting preferred ISD together with Remote Briefcase (the marker will appear above a selected element) and executing menu item "Refresh Local and Remote Briefcase"
creating a special item in the Scheduler/QuickLaunch list, which will be responsible for starting synchronization process
The local Briefcase contains all the information about folders and files. After computers have exchanged its Briefcases respectively, they know which files and folders in the Remote Briefcase are to be synchronized.
How to transfer Local Briefcase to the remote computer:

Briefcases Exchange operation is sufficient to be carried out only once. Later on, updated Briefcases will be transferred automatically during the synchronization process.

When the computer contains the Remote Briefcase, vuBrief knows all needed information about the files on the remote machine. Next step is to define native folders to be synchronized. This operation is called "Folders Union".

The Local Briefcase contains the set of folders. In the Remote Briefcase from the remote machine, there is another set of folders. The process of union folders define Native Folders, in others words, it links the same folders from two remote computers. Linked folders can be synchronized after union. |
These are the steps how to merge the folders:

User must select the pair of folders:
Union command unites these two folders. New record appears in the lower list when command is completed. The folders become native and their contents will be the same after synchronization operation. |

Let us look at
the example of the files synchronization between two folders (Folder-A and Folder-B). In order to make the contents of two folders the same they must exchange
different files with each other. In this case synchronization is bi-directional
and both folders contents is updated. This synchronization mode is called "Duplex"
and is the default mode.
In Duplex mode both folders have equal rights. Any change in one of the folders
will cause corresponding update of another folder.
However, there are case when the direction ought to be changed. For instance, Folder-A must be a Master Folder and Folder-B must be a Slave Folder. In this case synchronization is routed only from Folder-A (read only) towards Folder-B (write only).

In the upper window user can select required
synchronization direction.
For the Custom direction mode additional synchronization properties can be specified.

Synchronization modes:
Duplex - Both folders have the same rights. Folders supplement each other with distinctive files
Sample - Folder-A is used only as a source, read only folder. Synchronization process supplement Folder-B, target folder, with updated files. Folder-A contents is not updated
Mirror - Folder-A is used only for writing, as a Target folder (opposite to "Sample" mode). Synchronization supplement target folder with the files from the Folder-B, source folder. Folder-B is not affected by changes.
Backup - Folder-A is used only for writing, Target folder. This mode differs from the "Mirror" mode in files treatment. Only new files (date) are synchronized. This mode is used for adding files to Backup archives.
Custom - User may defined the synchronization direction. For example, to synchronize deleted files, etc.
Deleted files are also synchronized in the special way. On the
remote compute vuBrief will display the warning and after the user's confirmation
existing files on the remote site will be deleted. Native Folders on both computers
will be the same 
The main purpose of vuBrief is not a single or random synchronization (which can be performed perfectly as well), but a periodic and persistent process of contents synchronization between remote sites. The program can handle vast amount of files and folders exceeding tens of gigabytes in total size. If the files on two sides are regularly synchronized, then daily synchronization update does not usually exceed several megabytes or even less. This amount of data can be easily compressed on one floppy disk.
For a daily synchronization between a home and working computer it's recommended to use Floppy Disk as an Intermediate Storage Device (ISD).
The difficulties may arise during the first time synchronization when user only started to get familiar with vuBrief. Because computers where not synchronized before, the amount of data to be updated can be enourmous, totalling in several Gigabytes sometimes (highly depends on what is selected for synchronization). User should decide how to transfer this data:
Direct synchronization via Direct Link ISD or Local Network ISD (files are synchronized directly and in one step)
High capacity ISD, like CD-RW, FTP server, Removable Device
Manual Presynchronization by copying the files directly between hard drives
After the majority of files between computers have been synchronized by the means described above, the daily amount of updates does not usually exceed several megabytes. This amount of data can be easily compressed and synchronized via Floppy Disk ISD.
During synchronization process vuBrief compares both directories and prepares the list of distinctive files, which will be exchanged between folders. User can preview this files list and make modifications.

If the synchronization takes place between Master and Slave folders (unidirectional synchronization), the files state can be:
By default the preview list contains the files which comply with the selection conditions. User can deselect the files which are of no interest.
Next step:
It is possible to define the selection conditions when user creates new Folder in the Briefcase. By default, all files are selected and will be synchronized.
Please, pay attention, that both filters don't duplicate their functions, but supplement each other and their usage is totally task specific.
It is also possible to filter the files depending on the size limit, for example, to ignore the file of the exuberant size.
All the selection
options can be separately defined in the properties of every Folder. When synchronization
process is started vuBrief scans directories and select required files. Before
the final synchronization stage is committed, user may modify the selection
list
By default, synchronization or Backup process is performed on all directories in the Folder. There are exceptions, when only one folder in the briefcase should be processed. It's possible to do in different ways:
There are several
ways to start synchronization process. For example, dragging and dropping
briefcases
icons or from the menu.
But the most convenient way to start the process is from the Scheduler/QuickLaunch
list.

Process items in the list can have additional properties:

vuBrief Backup capabilities comprise of the following features:
it is possible to specify additional properties for "important" files, which allows to archive full history of important files changes in the backup (old copies are not erased)
Commands and interface description 
vuBrief contains empty Backup Briefcase after installation. User should determine beforehand which directories must be archived to Backup Briefcase. It is performed in following steps:
Open Backup Briefcase and create Folder definition. Briefcase can be opened by double
clicking on its icon. Folder in the Briefcase points to the directory on disk 
Select the set of files which will be archived to the Backup. By default, all files from the selected directories will be archived)
There are several ways to start Backup process:
creating the Backup process in the Scheduler/QuickLaunch. This method allows to specify the set of folders to be archived

Any of the mentioned methods will start Backup operation immediately for all Folders in the Backup Briefcase. To perform backup only for one folder in the Briefcase, user can open the folder in the Backup Briefcase and press "Backup" button. Only one folder will be archived in this case.
In order to retrieve the required file from the Backup archive, user must make a selection and press "Extract" button.

There are three possible selections:

By default, only the latest files are extracted, but It is possible to specify the date for the files to be extracted.
Before retrieving file from the Backup archive user must specify the target directory where the extracted files will be saved. By default, the files are extracted to the original directory they resided on the disk.

vuBrief accommodates several advanced Backup services to aid with handling Backup archives. |

This function allows to protect the Backup archive access
by setting the password.
Every time the Backup is attempted to be accessed vuBrief will ask for the password. |
