vuBrief is an advanced file and directories synchronization utility, capable of performing following tasks:

Data Synchronization "Home-Work"

vuBrief provides convenient and fast synchronization of files between home computer and computer at work. User is capable to perform all needed synchronization and copying actions between two computers.

At the end of the work day new documents are usually created by the user and existing documents are updated or even deleted. vuBrief application keeps track of the updated and new files and helps to seamlessly transfer the data to the home computer. With the help of the vuBrief Tasks Scheduler, it is possible to synchronize files between home and work machines every day Files Synchronization between remote computers without networks

Web-contents publishing (upload)

vuBrief application can be perfectly used for uploading of the web pages and files into the specified FTP folder. This procedure is an example of the data synchronization between local folder and FTP folder and is exceptionally useful for web-designers and web-developers Files Synchronization between the local folder and the FTP folder

Backup Archiving and Storage

All synchronization process of the files between directories on the same computer is performed in one stage. Files transfer between remote computers

vuBrief application is capable of synchronizing files between remote computers which are not even interconnected in the network. This process takes several stages and requires intermediate media storage device (floppy disk, CD-RW, Iomega ZIP disk, FTP resource). The Intermediate Storage Device (ISD) is used for data transfer between two computers. These are the steps to synchronize files between two machines:

FTP folders can be also used for synchronization. vuBrief allows to transfer and synchronize files from the local directory to the specified FTP directory.  

It is possible to select the direction of synchronization:

Scheduled tasks (synchronization, backup, etc) can be started manually or can be run automatically according to its schedule behavior. User can schedule the time of the activation of the synchronization or backup process with the set of advanced configurations. vuBrief will automatically run the scheduled tasks at the predefined time Scheduler/Quick Launch

vuBrief can run in two modes:

vuBrief user interface is tuned to provide simplicity of usage on top of the advanced abilities of the application. For example:

If the user encounters situation he does not know where to proceed, the vuBrief Assistant will popup to help with the list of the next steps. Files synchronization can be sometimes a confusing process for new users and the Assistant can be quite useful in such situations. 

Reliable work with files

When working with files, vuBrief uses special method, called SoftCopy, which protects the data from the disruptions during copying operations. SoftCopy technology is helpful in cases when "unreliable" media is used for synchronization (floppy disk, CD-RW). The application watches the copying process and rolls back to the previous state in case of an error.
The same technique is used for synchronization to FTP folder. While vuBrief uploads the data to FTP folder, the network link disruptions will not harm the data integrity. The final FTP update takes place only when all data has been uploaded.

Data Protection

vuBrief provides the data protection functions to limit the access to the synchronized contents. Backup archives are also protected with the password Password protection

The number of computers participating in the synchronization process is not limited. In the local area network there could be many computers which must synchronize their data among themselves. Large data amount transfer

To facilitate large amount of data for synchronization via ISD (Floppy, CD-RW, Iomega ZIP), vuBrief allows to split big archives into smaller chunks and store the archive on multiple ISDs

If the folder contains too many files, the synchronization process may take a while. To cope with this nuisance, vuBrief provides files filtering to exclude unneeded files from the process. It's possible to exclude directories altogether with files Automatic files selection

Quick vuBrief version update

New versions of vuBrief application are available approximately once a month.
It is possible to download new version directly from the vuBrief application. The menu item "Update" downloads new version from the Internet and restarts vuBrief

Program Installation

The latest version of the vuBrief application can be found here: vuBriefSetup.exe (2.4 Mb)

During the first start, vuBrief creates briefcases and sets up local parameters for the synchronization with remote machines.

If you install vuBrief for the very first time, it is sufficient to specify target directory and the following process is no hassle. If vuBrief is reinstalled, it is useful to follow several advices:

  • install only one copy of vuBrief on one computers, because another vuBrief will create its own local briefcase and will mess up synchronization with other computers
  • new version should be installed over the previous one at the same location. No uninstall is required in such case
  • for convenience, it's possible to download new version directly from the vuBrief by selecting "Update" menu or button. vuBrief will check for the new version existence and will download an update. However, user will be required to perform installation procedure manually

Program Uninstallation

To uninstall vuBrief, user should go to the Control Panel and choose the icon Add/Remove Programs. It is important to remember, that after uninstallation vuBrief directory will still contain Backup archives and other files. User must decide on his own, whether to delete the left files

Quick Start

We assume, that vuBrief is already installed.

Computer may have various number of logical disks, directories and files. It's usually not required to process all the files, but to process only the preferred files (for instance, folders with regularly updated work documents). User should decide which folders are to be synchronized and to add description of those folders into the Briefcase.

 

vuBrief will create two empty Briefcases during its first start:

For each of these briefcases the set of folders should be defined with the files selection conditions.

Preparations for the files synchronization

During files synchronization, full folders tree structure is synchronized. For example, if two computers contain Native Folders, the files in the Native Folders will be identical after the synchronization process. The number of the synchronized folders is unlimited.

As the first step, user has to define the folder to be synchronized. It's possible to do this in three steps:

  1. Open Local Briefcase and create a Folder definition. Double click on the briefcase icon to open the Local Briefcase.

  2. Select the files which should be synchronized (by default, all files from the selected folder are synchronized)Automatic files selection

  3. Define how subdirectories are processed (by default, all subdirectories are synchronized recursively)

After the mentioned steps, the Local folder is ready. Next step would be to define the Native Folder. The synchronization will be taking place between these two folders (Local and its Native one). 

However, it depends, where the Native Folder is situated:

Both directories for this type of synchronization may reside on the local disk, shared network disk or removable drive, but must be accessible during synchronization process. This type of synchronization is the fastest one, because the files are synchronized directly and in one step.

To perform direct synchronization, Direct-Link Assistant is used.

During Local folder description, the Native Folder is specified in the Direct-Link Tab. 

By default, the files between Native Folders are synchronized in both directions, but it's possible to override this options.

There are several different ways to launch the files synchronization with the Direct-Link:

Any of the mentioned methods will launch files synchronization for all the DirectLink-folders in the  Briefcase. If it's necessary to synchronize only one folder, it can be achieved from the Local Briefcase window by opening the required Folder in the list and pressing DirectLink button. In this case, only selected folder will be synchronized.

Files Synchronization between the local folder and the FTP folder

For any folder in the Local Briefcase it is possible to define native FTP folder and synchronize the files between these folders. It's very convenient for users who regularly upload and publish HTML documents and other files to Internet. Additionally, the synchronization is performed bi-directionally in one step.

The Local Briefcase may contain several folders, where every of these folders can be linked to FTP folder on different FTP servers.

For FTP folder synchronization the FTP-Folders ISD assistant is used. 

During Local folder description, the Native FTP Folder is specified on the FTP-Folder Tab. 

By default, the files are synchronized in both directions between the two folders, but it's possible to override this behavior, for example, to use FTP-Folder in the Mirror mode (write only).

Commands and interface description

There are several different ways to launch the files synchronization with the FTP-Folders:

Any of the mentioned methods will launch files synchronizations for all the FTP-Folder in the Briefcase. If it's necessary to synchronize only one folder, it can be achieved from the Local Briefcase window by opening the the required Folder in the list and pressing FTP-Sync button. In this case only selected FTP folder will be synchronized.

Files Synchronization among computers in the LAN

In case of the local area network the task to synchronize many computers within this networks may arise. Local Network ISD assistant can be used to perform this task. The quantity of computers in the synchronization operation is unlimited.

LAN synchronization procedure:

  • when specifying the properties of the folders, following requirements must be complied:

    • Local directory must be specified. This directory should be accessible as a Shared resource with writing permissions enabled

    • Network Tab option should contain the path to the local directory which identifies a Shared resource in the previous item

  • remote computes must exchange Local Briefcases among each otherPreliminary exchange of the Briefcases

  • every pair of computes must have their native folders united both in Local and Remote BriefcasesFolders Union

  • synchronization process can be launched now

There are several different ways how to launch files synchronization:

Files Synchronization between remote computers without networks

When computers are not connected in the network, vuBrief still provides the way to synchronize the data by means of Intermediate Storage Device. This type of synchronization is more complicated than the previous ones and is performed in the following sequence:

  1. Both remote computers must have vuBrief installedProgram Installation
  2. Both remote computers must have defined native folders (folder to synchronize should be added to the Briefcase)Preparations for the files synchronization
  3. Intermediate Storage Device must be selected (Floppy-disk, CD-RW, FTP-Server, Iomega Zip, etc). This device will be used for the files transfer between computersIntermediate Storage Device (ISD)
  4. Remote computers should exchange Local Briefcases with each other. The Briefcase contains all the information about folders and files of the remote computer (where this Briefcase was delivered from). This information is required to find out which files should be synchronizedPreliminary exchange of the Briefcases
  5. Native Folders of the Local and Remote Briefcases should be united (union process is explained in-depth later)Folders Union

During the very first synchronization user may experience difficulties because of the large number of files to be synchronizedFirst time synchronization difficulties

There are several different ways how to launch files synchronization with remote computers:

Preliminary exchange of the Briefcases

The local Briefcase contains all the information about folders and files. After computers have exchanged its Briefcases respectively, they know which files and folders in the Remote Briefcase are to be synchronized.

How to transfer Local Briefcase to the remote computer:

  1. In the main vuBrief window select ISD from the list of available devices (Floppy, CDRW, FTP-Server, Removable Device) and make sure that the selected device is available (the marker should appear above the icon of the device)
  2. Execute menu item "Send Local Briefcase". At this stage the Briefcase is being saved on the ISD
  3. The next steps are performed already on the remote computer
  4. In the main vuBrief window select the ISD which was used for saving the Briefcase before. Make sure the device is available
  5. Execute menu item "Receive New Briefcase". After loading from the ISD, the new Briefcase should appear in the list of Remote Briefcases

Briefcases Exchange operation is sufficient to be carried out only once. Later on, updated Briefcases will be transferred automatically during the synchronization process.

When the computer contains the Remote Briefcase, vuBrief knows all needed information about the files on the remote machine. Next step is to define native folders to be synchronized. This operation is called "Folders Union"

Folders Union

The Local Briefcase contains the set of folders. In the Remote Briefcase from the remote machine, there is another set of folders. The process of union folders define Native Folders, in others words, it links the same folders from two remote computers. Linked folders can be synchronized after union

These are the steps how to merge the folders:

  1. In the main vuBrief window it's possible to select the Briefcase in the list of Remote Briefcases (the marker should appear above the selected Briefcase)
  2. Execute the menu item "Files\Folders Union".

User must select the pair of folders:

  • folder from the Local Brief (on the left)

  • folder from the Remote Brief (on the right)

Union command unites these two folders. New record appears in the lower list when command is completed. The folders become native and their contents will be the same after synchronization operation.

Synchronization Direction

Let us look at the example of the files synchronization between two folders (Folder-A and Folder-B). In order to make the contents of two folders the same they must exchange different files with each other. In this case synchronization is bi-directional and both folders contents is updated. This synchronization mode is called "Duplex" and is the default mode.
In Duplex mode both folders have equal rights. Any change in one of the folders will cause corresponding update of another folder.

However, there are case when the direction ought to be changed. For instance, Folder-A must be a Master Folder and Folder-B must be a Slave Folder. In this case synchronization is routed only from Folder-A (read only) towards Folder-B (write only).  

In the upper window user can select required synchronization direction. 

For the Custom direction mode additional synchronization properties can be specified.

 

Synchronization modes:

Synchronization of deleted files

Deleted files are also synchronized in the special way. On the remote compute vuBrief will display the warning and after the user's confirmation existing files on the remote site will be deleted. Native Folders on both computers will be the same

Files synchronization strategy

The main purpose of vuBrief is not a single or random synchronization (which can be performed perfectly as well), but a periodic and persistent process of contents synchronization between remote sites. The program can handle vast amount of files and folders exceeding tens of gigabytes in total size. If the files on two sides are regularly synchronized, then daily synchronization update does not usually exceed several megabytes or even less. This amount of data can be easily compressed on one floppy disk.

For a daily synchronization between a home and working computer it's recommended to use Floppy Disk as an Intermediate Storage Device (ISD).

First time synchronization difficulties

The difficulties may arise during the first time synchronization when user only started to get familiar with vuBrief. Because computers where not synchronized before, the amount of data to be updated can be enourmous, totalling in several Gigabytes sometimes (highly depends on what is selected for synchronization). User should decide how to transfer this data:

After the majority of files between computers have been synchronized by the means described above, the daily amount of updates does not usually exceed several megabytes. This amount of data can be easily compressed and synchronized via Floppy Disk ISD.

Preview before files update

During synchronization process vuBrief compares both directories and prepares the list of distinctive files, which will be exchanged between folders. User can preview this files list and make modifications.

At this stage user can continue operation in following ways:
  • Skip - to skip current update and continue operation

  • Preview - to open the list of prepared files for preview. The list can be edited here

  • Continue - to confirm an update and proceed

  • Abort - to cancel an operation. No updates will be processed.

For every file in the list is set the synchronization state:

If the synchronization takes place between Master and Slave folders (unidirectional synchronization), the files state can be:

By default the preview list contains the files which comply with the selection conditions. User can deselect the files which are of no interest.

Next step:

Automatic files selection

It is possible to define the selection conditions when user creates new Folder in the Briefcase. By default, all files are selected and will be synchronized.

vuBrief accommodates two types of selection filters:

  • Ignore List - files extensions can be specified in this list for files which should be skipped during synchronization. The rest of the files are considered to be selected.
  • Select List - files extensions are specified in this list for files which should be included in the synchronization. The rest of the files are ignored.

For example, Ignore list is used often to exclude only undesired set of files ( .tmp; .bak; .old) and synchronize the rest contents.

Please, pay attention, that both filters don't duplicate their functions, but supplement each other and their usage is totally task specific. 

It is also possible to filter the files depending on the size limit, for example, to ignore the file of the exuberant size.

All the selection options can be separately defined in the properties of every Folder. When synchronization process is started vuBrief scans directories and select required files. Before the final synchronization stage is committed, user may modify the selection listPreview before files update

Selected Folders Processing

By default, synchronization or Backup process is performed on all directories in the Folder. There are exceptions, when only one folder in the briefcase should be processed. It's possible to do in different ways:

There are several ways to start synchronization process. For example, dragging and dropping briefcases icons or from the menu.
But the most convenient way to start the process is from the Scheduler/QuickLaunch list.

Backup Folders definition

vuBrief contains empty Backup Briefcase after installation. User should determine beforehand which directories must be archived to Backup Briefcase. It is performed in following steps:

Backup start

There are several ways to start Backup process:

Any of the mentioned methods will start Backup operation immediately for all Folders in the Backup Briefcase. To perform backup only for one folder in the Briefcase, user can open the folder in the Backup Briefcase and press "Backup" button. Only one folder will be archived in this case.

Retrieving files from Backup archive

It is possible to view the files in the Backup archive by opening Backup Briefcase. For "important" files several copies will be marked by the "MultiCopy" icon. Such files can be distinguished by their timestamps

In order to retrieve the required file from the Backup archive, user must make a selection and press "Extract" button. 

There are three possible selections: 

  • selection of the whole Backup Folder with all its files and subdirectories

  • selection of one subdirectory with files

  • selection of one file 

Commands and interface description

By default, only the latest files are extracted, but It is possible to specify the date for the files to be extracted.

Before retrieving file from the Backup archive user must specify the target directory where the extracted files will be saved. By default, the files are extracted to the original directory they resided on the disk.
